How to respond to an unfair Google review?

Reply for the hundreds of future customers who will read it, never for the reviewer. Stay calm, state your side factually, correct errors without arguing, and offer a direct route to sort it out. If the reviewer was never a customer, say so plainly and report the review in parallel.

The first rule of answering an unfair review is knowing who the reply is for. The reviewer has made up their mind. The audience is every future customer who reads the exchange while deciding whether to call you, and they are judging your temperament as much as the facts.

A reply that works is short and structured: acknowledge without grovelling, state your version of the facts once, and move it offline with a named person and a direct contact. Something like: we have looked into this, our records show the boiler was serviced on the agreed date and the invoice matched the quote, and we would genuinely like to resolve this, so please call and ask for the owner. Firm, specific, done.

What sinks businesses is the fight. Sarcasm, capital letters, personal details about the customer, or legal threats turn one unfair review into a public character reference against you. If you cannot write calmly yet, wait a day. The reply is permanent and there is no deadline.

If the review is unfair because it is untrue at the root, from someone you never served, aimed at another firm, or planted, then say so in one factual line, for example: we have no record of any customer by this name and have asked Google to review this post. Then actually report it through your Business Profile, because those two actions reinforce each other.

One more reason replies now matter: answers on your profile are read by more than people.
